Terms & Conditions

We are grateful for your attendance at our Fairs. As they are a major undertaking requiring a significant amount of organizational and financial resources, we ask that you abide by our guidelines, terms and conditions.

Participation

    Participating camps agree to:

  • Maintain sound financial standing prior to departure with no outstanding balances.
  • Participate with the firm intention of interviewing and hiring international camp staff.
  • Follow our limitations of additional staff at the booth helping at the fair.
  • Honor commitments to applicants and refrain from rescinding job offers. A $400 fee applies to each job offer rescinded without due cause.
  • We appreciate your professional consideration during the event with regard to applicants who may have applied to other agencies. Participating camps agree not to use our venues or accommodations to interview such applicants and understand that they will not be allowed to enter any of our recruitment events.

Registration

  • Qualifier levels are based on a Camp’s 2024 Camp America final placement numbers.
  • Camp America will review requests for extended stays based on availability. Any associated costs to your request will be passed directly to you.
  • Payment is due in full for each attendee within 30 days of registration to confirm registration.
  • Changes and/or cancellations made within 45 days of the registered fair may incur hotel penalties and city to city transport fees if booked by Camp America.
  • For CD Fair registrations we accept Visa, MasterCard, Discover and American Express for payment in full as well as checks that are to be payable to Camp America.
  • All balances are due 45 days from the date of registration.

What the Qualifier Rate Includes and Excludes:

  • Each Qualifier rate for fairs in the UK, Poland, Mexico and Hungary includes single-occupancy accommodation, daily breakfast, one booth at the recruitment event, and travel insurance. For fairs in Australia and New Zealand, the Qualifier rate includes one booth at the recruitment event and travel insurance. Attendees must book their own hotel for Australia and New Zealand fairs.
  • Transport between fair cities will be provided by Camp America for Qualifiers and registered guests for multi-city tours in the UK and Europe.
  • Excluded are flights, fees associated with COVID-19 tests, lunches, dinners, sightseeing tours, passport fees, excess baggage, and applicable visas.
  • Wi-Fi may not be readily available at the event venue.
  • Requests for certain booth locations will not be considered.

Registration Changes and Cancellations

  • Changes and/or cancellations made within 45 days of the registered fair may incur hotel penalties and city to city transport fees if booked by Camp America.
  • There will be no refunds in whole or part for any unused portion of the trip.
  • Should Camp America cancel the Recruitment Event you will receive a full refund of all fees paid directly to Camp America.
  • Any cancellations after November 15th for the Fairs in Australia and New Zealand will incur a $200 per city cancellation fee.

Insurance

Attendees who attend our 2024 Recruitment Events are covered by AIFS’ Cultural Insurance Services International for the published tour dates the attendee is registered for.

  • Detailed policy information will be provided closer to the events.

Covid and Travel Considerations

  • We will be following all U.S. CDC and Department of State Covid-19 travel guidelines as well as local in-country Covid-19 guidelines for gathering in groups and large events. These guidelines are subject to change. We will keep you informed with the latest rules and regulations closer to the events.

Hotels

  • Requests for specific roommates can be accommodated if hotel dates match. Otherwise, additional charges will apply.
  • Special requests you have made concerning your hotel (e.g. room location, smoking room etc.) may result in check-in delays.

Flights

  • Flights are not included for the 2025 Camp Directors’ Fairs.
